How to help a client who is struggling to learn, read, do math, or keep up at school. Practical strategies you can teach in a session, with the reasoning behind each one.

Why a counselor needs this

Academic struggle arrives in the counseling room constantly, and rarely as the presenting problem. It comes in as anxiety, as school refusal, as a parent at the end of their patience, as a bright adolescent who has decided they are stupid. By the time someone reaches you, the learning difficulty has usually become an emotional one.

You are not a tutor and you are not an educational diagnostician. But you are often the person with the most time, the most trust, and the best view of what is actually happening. That puts you in a position to teach a handful of strategies that genuinely work, and to notice what nobody else has noticed.

The organizing idea
Humans learn what feels familiar. Any strategy that builds familiarity ahead of formal learning will support comprehension, retention, recall, and the ability to apply what was learned somewhere new.

That principle runs through everything on this page. Most of what follows is not the learning itself — it is scaffolding placed around the learning so that it is easier to begin, easier to sustain, and easier to retrieve later.

The research supports this. New information is encoded more readily when it can attach to something already there (Ausubel, 1960), and material that has been encountered before is processed more fluently the next time. The work of learning still has to happen. But a mind that already recognizes the territory does that work far more efficiently.

Before you teach a strategy, look

A technique applied to an unexamined problem often fails for reasons that have nothing to do with the technique.

  • Vision and hearing. Ask when they were last checked. You may be the first person to ask. A child who cannot see the board is not inattentive.
  • Sleep. See the Foundations tab. A student who is not sleeping will not retain what they study, whatever method they use.
  • An undetected learning disability. Persistent difficulty with reading, writing, or math that does not match the person’s obvious intelligence deserves formal evaluation, not more effort.
  • Anxiety about the subject itself. Math anxiety and test anxiety consume the working memory the task needs (Ashcraft & Kirk, 2001). Treat the anxiety and performance often moves without any new study skill.
  • What has already been tried. Someone who has been told to “just study harder” for three years will need you to offer something visibly different.
Scope. Supervisees do not diagnose learning disabilities, administer educational assessments, or write instructional plans. You may teach study and self-regulation strategies, address the emotional layer, support a family through an evaluation or an IEP meeting, and refer. Discuss any academic intervention in supervision before you begin it.
How to approach a book, article, or website

A structured pre-reading pass that costs ten minutes and changes what the real reading feels like.

Teach this as a sequence. It works on a textbook chapter, a journal article, a website, or a set of lecture slides.

  1. Read the title and subtitles. What is this actually about? Say it aloud in your own words before going further.
  2. Look at the structure. The table of contents, the chapter list, the section headings. How has the author divided the territory? This is the skeleton everything else will hang on.
  3. Find the summary. An abstract, a chapter summary, a conclusion, the blurb on the back. Read the ending first. This is not cheating.
  4. Glance at the graphics. Charts, diagrams, photographs, captions. Authors put the most important relationships in pictures.
  5. Skim, physically. Place two fingers on the page or screen and slide them down at a few seconds per page. Let your eyes take it in casually and quickly. Do not stop to understand anything.
  6. Come back a few days later. Then read properly, and notice how much more easily new information lands.
Why the finger matters. It sets a pace and stops the eyes settling into reading. Clients who try to skim without it usually start reading a paragraph, feel they are not understanding, and give up. The instruction is physical because the discipline is physical.

This is an advance organizer built by the learner rather than supplied by a teacher (Ausubel, 1960). The return visit is not optional — the interval between the two passes is doing a large part of the work (Cepeda et al., 2006).

Audio as a supporting layer

Text-to-speech apps will read almost anything aloud. A client can also record their own notes and play them while driving, cooking, exercising, or falling asleep.

Be precise with clients about what this does. Active listening — following the text, pausing, answering back — is study. Background listening builds familiarity and comfort with the material, which is exactly what the principle above is about, and it reinforces what has already been learned. It does not replace active retrieval, and a struggling student who listens passively and concludes they have studied will be disappointed by the test.

  • Recording it in their own voice is better than a synthetic one. Producing the summary is itself a learning act.
  • Replay material already studied rather than new content. Cueing something already encoded is far more defensible than hoping to absorb something novel while asleep.
  • Pair it with the eyes — listening while following the text — for clients who lose the thread in print alone.
Familiarity, secured formally

For a student with an identified learning difficulty, this same principle can be written into a plan rather than left to willpower.

Early access to the curriculum — typically two weeks ahead — can be documented as an intervention within a Section 504 Plan or an IEP. The student previews the topic, concepts, and vocabulary before the class meets, and arrives already familiar with the territory.

Getting started, and keeping going

Most academic failure is not a failure of understanding. It is a failure to begin, and then to begin again.

The methods below all attack that problem from different directions. Teach one or two, not nine. A client who leaves with a single technique they will actually use is ahead of one who leaves with a list.

Ways to Motivate and Optimize Performance and Time Utilization

The Pomodoro Method

When stuck in inaction, commit to small waves of effort. It is far easier to persuade your mind to do twelve or eighteen minutes than to face an open-ended task. Then stop, rest, play, or do something else that matters. Come back later and do it again — wash, rinse, repeat, until you are done.

How. Set a timer for a length the client will genuinely agree to — twelve minutes is often more honest than twenty-five. Work until it sounds. Stop even if you are mid-sentence. Take five to fifteen minutes away. Repeat two to four times, then take a longer break.

Timeboxing

Allocate a fixed period to a task rather than working until it is finished. Useful when the task has no natural end, or when perfectionism means it never does.

How. “I will work on the essay from 4:00 to 4:40.” When the box closes, stop and log what was done. The commitment is to the time, not the outcome.

Implementation intentions

A plan in the form when X happens, I will do Y. Making the decision in advance means it is not remade, and relitigated, every single day (Gollwitzer, 1999).

How. Write it down, specifically. Not “I will study more” but “when I get home and put my bag down, I will open my chemistry notes at the kitchen table for twelve minutes.” Name the cue, the action, and the place.

The five-minute rule

Commit to a dose so small that refusing it feels absurd. Starting is the expensive part; continuing is usually cheaper than expected.

How. “Five minutes, then you may stop.” Mean it — the client must be genuinely free to stop, or the technique becomes a trick they stop trusting.

The Zeigarnik effect

Unfinished tasks stay active in the mind in a way completed ones do not (Zeigarnik, 1927). This is part of why returning to something already begun is easier than starting fresh.

How. Stop mid-task rather than at a tidy ending — mid-paragraph, mid-problem. The open loop pulls you back, and you resume with the thread still in hand.

Behavioral activation

Action comes before motivation rather than after it. The clinical version of everything above, and the frame you will already recognize from depression treatment.

How. Stop waiting to feel like it. Schedule the activity, do it at the scheduled time, and let the feeling follow. Track what actually happened rather than what was intended.

Spaced practice

The same total study time produces substantially better retention when spread across days rather than massed into one session (Cepeda et al., 2006; Dunlosky et al., 2013).

How. Four twenty-minute sessions across four days, not eighty minutes the night before. Revisit older material briefly each time rather than only the newest.

Retrieval practice

Testing yourself on material is a far more powerful way to learn it than re-reading. Along with spaced practice, it carries the strongest evidence of any study technique reviewed (Roediger & Karpicke, 2006; Dunlosky et al., 2013).

How. Close the book and write down everything you can recall. Then open it and check. Flashcards, practice questions, or explaining it aloud all count. The struggle to recall is the mechanism — it should feel harder than re-reading, and that is the point.

Interleaving

Alternating between related topics rather than completing one before starting the next. Performance during practice feels worse; retention and the ability to tell problem types apart are better.

How. Mix problem types in a set rather than doing twenty of the same kind. Warn the client it will feel less satisfying than blocking — otherwise they will abandon it.

Teaching it to someone else

Explaining material aloud to another person forces you to organize it, and exposes the gaps you did not know were there (Fiorella & Mayer, 2013).

How. Explain it to a sibling, a parent, a pet, or an empty chair. Out loud, without notes. Whatever you stumble over is what to study next.

Be honest about the evidence. Spaced practice, retrieval practice, and implementation intentions rest on strong research. The Pomodoro Technique is a useful scaffold built on sound principles, but no study establishes twenty-five minutes, or twelve, as an optimal interval. Offer the structure; do not attach it to a number the evidence does not support.
People learn more doing what they believe they are good at

Belief about ability predicts effort, persistence, and what a person will attempt at all.

A client who has decided they are “bad at math” is not making a neutral observation. They are describing a belief that shapes how long they will persist, whether they will ask for help, and whether they will attempt the problem at all. Self-efficacy influences outcomes partly through those choices (Bandura, 1997).

Arguing with the belief rarely works. Showing the person evidence against it, drawn from their own life, works far better.

Body math — for math phobia and fear

Before teaching any math, establish that the person is already mathematically competent. These are not morale exercises. They point at genuine mathematical cognition that is present before formal instruction and independent of it (Halberda et al., 2008).

Then extend it into daily life

Explore the activities of daily living the person has already mastered that depend on these concepts. Cooking and halving a recipe. Working out whether there is enough money. Judging whether they will make it on time. Splitting something fairly among friends. Knowing a bus is too full.

The goal is a shift from I am bad at math to I do math constantly and well; what I struggle with is a particular written notation. That is a much smaller and much more workable problem.

For younger children, make it physical and playful. Hold up two hands. Find the twos on their body. Compare two piles of anything. The point is not the answer but the noticing — you already knew that, and nobody taught you.
Math anxiety and test anxiety

Both consume working memory that the task itself needs. The person is not only frightened; they have less capacity available for the problem in front of them, which produces worse performance, which confirms the belief (Ashcraft & Kirk, 2001).

  • Treat the anxiety as anxiety. Regulation strategies, graded exposure to the feared task, and cognitive work on the belief all apply here as they would anywhere else.
  • Reduce the load where you can. Scratch paper, a formula reference, no time pressure during practice, and permission to work slowly.
  • Rehearse under conditions closer to the real ones once the person is ready — timed, at a desk, without notes.
  • Separate the two questions: do you know this and can you show it under these conditions. Many clients have never been asked to distinguish them.
This is squarely within your scope. Teaching a calculus concept is not, but treating the anxiety that stops someone accessing what they already know is exactly the work.
Engage more of the brain, for everyone

This is not about matching a person to their learning style.

An important distinction. We are not identifying a client’s preferred modality and teaching to it. That idea — the learning-styles matching hypothesis — has repeatedly failed to hold up under testing (Pashler et al., 2008). What we are doing is adding sensory and creative channels of input for everyone, so that more of the brain participates in the learning. Material encoded through several channels is richer, involves more regions working together, and offers more routes back to it later (Paivio, 1986; Mayer, 2009).

So the question is never “is this client a visual learner?” It is “how many ways can we get this material into them?”

Practical ways to add channels
Visual
  • Turn a page of notes into a visual map — colored pens, highlighters, symbols, small labeled drawings. The drawing does not need to be good. Drawing material rather than writing it produces notably better recall (Wammes et al., 2016).
  • Use color systematically: one color per theme, per source, or per level of importance.
Tactile
  • Write on paper laid over cardboard or a textured surface so the hand feels the writing.
  • Write with crayons — different resistance, different feel.
  • Use puffy ink for key notes and notations, then run a finger over them while studying later.
  • Physical counters — coins, cards, blocks, buttons — standing for concepts and terms, moved around by hand to show how ideas relate.
Movement and balance
  • Walk while reading or reciting. Stand rather than sit.
  • Balance on one foot, stand on a pillow or wobble board, sit on a wobble cushion.
  • Pace while explaining the material aloud.
Olfactory
  • A distinctive fragrance during study — peppermint or eucalyptus — through essential oil, a diffuser, gum, or mints.
Caution on fragrance. Essential oils are a common migraine trigger and a problem for people with asthma or scent sensitivity. Never introduce a diffuser into shared or clinical space without asking everyone present. Gum or a mint is the safer version, since it affects only the person who chose it.
Environmental cues and distributed review

Sticky notes. Writing on mirrors with a marker. Cards or objects left where they will be seen. Placed in open spaces so the material gets reviewed mentally throughout the day rather than only at the desk.

Two separate things are happening, and both are useful:

  • Spacing in disguise. A note on the bathroom mirror produces repeated, low-effort retrieval at intervals across the day. That is the mechanism that builds retention (Cepeda et al., 2006).
  • Spatial structure. Objects arranged on a table make relationships visible in a way a list does not, and moving them by hand engages motor and spatial processing alongside the verbal.
This is also the version of studying that a client who cannot sit still will actually do. For a restless adolescent, cards on the floor that get rearranged may accomplish more than an hour at a desk ever will.
Songs, poems, raps, and stories

Set the material to music or verse. Take a tune everyone already knows and replace the lyrics with the content. Turn basic facts, spelling rules, formulas, definitions, or dates into a rap or a poem. The more creative and engaging the vehicle, the more learning it carries.

Melody and rhythm give material additional structure to attach to, and rhyme constrains what can come next — which is why people retain song lyrics they never set out to memorize. Sung material can be recalled better than spoken material under some conditions (Ludke et al., 2014).

  • The client writes the lyrics, not you. Generating the material is where most of the benefit sits. A rap handed over is just more text to memorize.
  • Use a tune they already know so the melody is automatic and all the effort goes into the content.
  • Silly is fine. Distinctive and absurd material is easier to recall than sensible material, and the laughing is doing useful work of its own.
  • Stories work the same way for sequences and processes — give the steps characters and a plot.
A note on published songs. Rewriting the words to a well-known song privately with a client is ordinary practice. Publishing, printing, or distributing rewritten lyrics to a copyrighted song is a different matter. For anything Orchard hands out or posts, use public-domain tunes or original melodies.
Graphic organizers

A visual arrangement that shows how pieces of information relate to one another.

A graphic organizer is not decoration and it is not a summary. It is a structure that makes a relationship visible — a hierarchy, a sequence, a comparison, a cause. Concept and knowledge maps produce reliable gains in retention and transfer across a wide range of settings and ages (Nesbit & Adesope, 2006).

The single most important rule. The client builds it. You do not hand over a completed organizer — that is just another page to read. The construction is where the learning happens, because you cannot build one without deciding how the ideas relate to each other.
Match the shape to the information

Most organizers fail because the wrong shape was chosen. The structure should mirror the structure of the content.

How to build one with a client
  1. Ask what kind of information this is. Steps? Categories? A comparison? The answer chooses the shape, and the question itself is teaching something.
  2. Get the pieces out first. Terms, ideas, and facts onto separate sticky notes or index cards. One idea per card. Do not organize yet.
  3. Arrange them physically. Move the cards around on the table until the arrangement feels right. Expect disagreement and rearranging — that argument is the learning.
  4. Draw the connections. Lines and arrows between the cards, each one labeled with the relationship: causes, requires, contradicts, is an example of.
  5. Transfer it to paper. Now it becomes a permanent organizer, in color, with symbols and small drawings.
  6. Use it for retrieval. Cover it and rebuild it from memory. This is where it stops being a craft activity and becomes study.

Three-dimensional versions earn their place with clients who need movement, with younger children, and with anyone who finds a blank page intimidating. Building something is a lower barrier than writing something.
The learning contract

A written agreement, with indicators specific enough to know whether they happened.

Execute an academic or learning success contract with the client. The value is not the paper — it is that vague intentions become specific, observable commitments, and progress becomes visible rather than felt.

What makes an indicator usable
  • Observable. “Study more” is not an indicator. “Four twenty-minute sessions a week, logged” is.
  • Within the client’s control. Track the studying, not the grade. The grade depends on things they cannot control, and failing at something uncontrollable teaches helplessness.
  • Frequent enough to notice. Weekly beats per-semester. Progress a person cannot see does not motivate.
  • Few. Three or four indicators. A contract with twelve is a wish list.
What the contract should contain
  • The goal, in the client’s own words
  • Three or four key performance indicators, each measurable
  • How and when progress is recorded
  • Who else knows — parent, teacher, supervisor
  • What happens when it is met, named in advance
  • What happens when a week is missed, also named in advance and free of shame
  • A review date
Name the reinforcer before you start. A reward decided afterward is a consolation prize. A reward named in advance is something to work toward, and it should be chosen by the client rather than by the adult.
The success chart

Progress that cannot be seen is difficult to sustain. A chart on a wall does something a conversation does not: it makes effort visible on days when results are not.

  • Track the behavior, not the outcome. A row filled in for studying is within reach every day. A row that fills only when grades improve will sit empty for weeks.
  • Make it physical and visible. On a wall, on a fridge, in a notebook the client opens daily. Not in an app they will stop opening.
  • Let the client decorate it. Ownership matters more than neatness.
  • Review it together at each session. A chart nobody looks at stops being filled in.
  • A missed day is data, not failure. Look at what got in the way and adjust the plan rather than the person.

Learning rests on how a person lives

Check the foundation before you teach technique.

A student who cannot concentrate is often a student who is not sleeping. The instinct is to reach for a study strategy, but a technique applied to a sleep-deprived brain will not hold. The activities of daily living below support cognition, learning, memory, recall, and the ability to generalize what was learned.

Sleep — quality, length, REM, deep Memory consolidation happens during sleep. Studying without sleeping afterward wastes much of the effort (Rasch & Born, 2013).
Circadian rhythm Regular timing governs sleep quality, alertness, and when a person can do demanding work at all.
Morning sunlight Light early in the day is the strongest lever on circadian timing, and therefore on sleep.
Fresh air Stuffy rooms and rising carbon dioxide dull concentration. Open a window before a study session.
Adequate protein Supports steadier energy across a study session than carbohydrate alone.
Balanced blood sugar A crash takes working memory and mood with it. Many an afternoon “attention problem” is a blood sugar problem.
Movement and exercise Supports attention, mood, and sleep quality. Short bouts before study are often enough.
Socialization Isolation worsens mood and motivation. Studying alongside another person helps many students begin.
Play and leisure Rest is when consolidation and insight occur. A student with no leisure is not studying more, only worse.
Orderly environment Visual clutter competes for attention, and a disordered space raises the cost of beginning.
Stay within scope. Discuss these as general principles. Supervisees do not prescribe diets, set calorie or macronutrient targets, or write exercise programs — and take particular care where disordered eating may be present. Where sleep, nutrition, or a medical concern is significant, refer.
When one channel is overloaded

For clients with sensory processing differences, the aim shifts. On the multi-sensory tab we were adding channels to enrich encoding. Here we are finding a route that works when one channel is costly or unreliable.

  • Eyes following along while listening to the text, so the two channels support rather than compete.
  • An audio recording where print is effortful.
  • Reorganizing into a chart, map, or graphic organizer where continuous prose is hard to hold.
Read the direction the client needs. Someone overwhelmed by sensory input needs fewer channels and a quieter environment, not peppermint and a wobble cushion. Adding stimulation to an overloaded system makes things worse. Work out which way the person tips before choosing a strategy.
A learning plan for a hard subject

When a client is genuinely stuck in one course, build a plan rather than urging more effort.

  • Get a second textbook. A student who is stuck often understands the subject fine and does not understand one author’s explanation of it. A different explanation frequently unlocks what more hours on the same page will not. Libraries and used copies make this cheap.
  • Sometimes an old-fashioned printed textbook is what is missing, particularly for a student working only from slides and handouts.
  • Find instructors who teach that subject well. Several are well known for particular subjects. Watch two or three and pick whoever makes sense to this client.
  • Build targeted playlists — pre-study before class, review after, reinforce before the exam. Same material, three exposures, spaced.
  • Study groups where the client explains rather than listens.
One practical caution. Autoplay and the recommendation sidebar are where study time disappears. A saved playlist rather than a search, opened full screen, keeps a student on the material.
Working with the school
  • Preview access to curriculum — documented in a Section 504 Plan or an IEP, as described on the Familiarity tab.
  • Other common accommodations that rest on the same principles: extended time, a reduced-distraction setting, audio versions of texts, notes or slides supplied in advance, and permission to record lectures.
  • Your role in a meeting is to describe what you observe and support the family, not to recommend educational placement or diagnose. Prepare the parent beforehand; that preparation is often worth more than your presence on the day.
  • Documentation helps. Specific observations over time carry more weight in a school meeting than general impressions.
